RE: AUTHORIZATION TO PURCHASE REPLACEMENT FAX MACHINE
The fax machine now used by City Hall has been in place since 1986.
Until recently, the machine served the City well despite the fact
that it has grown increasingly outmoded. Over the past several
months, however, the costs of repairing the machine and the
inconvenience caused by the machine being out of service have
resulted in a situation where it has become necessary to purchase
a replacement fax unit.
After looking into several options, staff has concluded that the
replacement unit offering the features and reliability necessary
• for use in City Hall is the Mita LDF-670 plain paper fax machine.
Staff contacted several Southern California vendors seeking bids
for the unit and received the following responses:

The low bidder, FKM Copiers is a long-standing Los Angeles based
company which will be able to respond rapidly to service needs as
they arise. The machine specified is in stock and available.

Attached are copies of the bids from the three vendors listed and
a specification sheet for the Mita LDF-670 plain paper fax machine.
Funds are available in this year's budget are available for the
purchase of the replacement fax unit.
RECOMMENDATION
It is recommended that the City council award bid to FKM Copiers
for the purchase of a replacement fax machine.
