SUBJECT: NOTICE OF COMPLETION -CITY COUNCIL CHAMBERS
SUMMARY
As part of the City's Fiscal Year 2007-08 Capital Improvement Budget, the City Council
approved a project to renovate the City Council Chambers. The project included
modernization work; upgraded access for disabled persons, and improved audio visual
technical equipment. The contract has now been completed to the satisfaction of the
City's Public Works Services Business Unit.
Staff Recommendation
Staff recommends that the City Council:
1. Accept the completed work.
2. Authorize the City Clerk to file a Notice of Completion.
3. Authorize the City Clerk to release the Labor and Materials bond 35 days after
the Notice of Completion has been recorded in accordance with applicable
portions of the Civil Code.
4. Release the Faithful Performance Bond 1 year after City Council acceptance.
DISCUSSION
On January 22, 2008, the City Council authorized the award of this project to Caltec
Corporation. The work consisted of the removal and replacement of furniture and
fixtures, refurbishing audience chairs, carpet replacement, painting, access
improvements in compliance with ADA requirements, and the installation of a new audio
visual system for the space. These upgrades have converted the council chambers into
a much more user-friendly venue.

The contract has now been completed to the satisfaction of the Public Works, Services
Business Unit. A summary of the contract cost is as follows:
Original bid amount: $521,000.00
Actual amount of bid items constructed: ~ $521,000.00
Total amount of change orders: ~ $10,219.12
Final contract cost: $531,219.12
The increase in the amount of actual work constructed over the original bid amount
resulted from six change orders totaling $10,219.12 as described on the attached.
The final overall construction cost was 1.96 percent over the original bid amount.
All work. was completed by August 21, 2008, approximately one month past the
scheduled completion date of July 15, 2008. Extra time was needed to complete the
project due to changes requested by staff including the council chambers entry door,
wall coverings, and audio-visual system upgrades to configure with the Granicus
