RE: AUTHORIZATION TO PURCHASE CASSETTE RECORDING SYSTEM FOR
COUNCIL CHAMBERS
This request comes from the City Clerk for the purchase of a
cassette recording system for the Council Chambers to replace the
existing reel-to-reel system. A similar system was considered in
the past and rejected as being cost-prohibitive at approximately
$6,200. However, the system being requested at this time has been
used for demonstrations for less than thirty days and is being
offered to the City at a substantial reduction in price. The system
would still be covered under warranty as new equipment and includes
the dual action Harris/Lanier Advocate IV recorder, two transcribers
with headsets and foot controls, necessary jacks, installation, and
any training that may be needed.
Among the benefits that would be derived from this system are the
ease of transcription, voice quality, ease of duplication of tapes
when needed, and the modernization of aging equipment. It should be
noted that this equipment would be used for meetings of the Traffic
and Planning commissions, as well as the City Council.
Attached is a copy of the brochure showing the capabilities of this
equipment.
RECOMMENDATION
It is recommended that the city council authorize the purchase of
this equipment for $3,400, including State sales tax and a one-year
maintenance agreement effective after the expiration of the
warranty, by allowing $1,200 to be used from the City Clerk
Department's Capital outlay account and $2,200 from the Appropriated
Reserves account.
