BURBANK, DIRECTOR OF PARKS AND RECREATIC( DATE: AUGUST 25, 2005 RE: REQUEST FOR ADDITIONAL ARCHITECTURAL FEES FOR THE ROSEMEAD AND GARVEY POOL BUILDING RESTORATION PROJECT The City received two (2) State Grants that totaled $ 392,745, that were earmarked to restore Rosemead and Garvey Pool Buildings. B.O.A. submitted their proposal for professional Architectural fees for $ 49,000.00 based on the amount of construction funds and scope of work. Since that time, the scope of the project has changed as has the projected construction budget, which is currently at $ 777,300.00. Bids are scheduled to open on Tuesday, September 13, 2005. The Architect has recently submitted a request to increase his fees by $ 22,000.000 to account for the additional expenses the firm accrued while developing plans and specs and those they have yet to incur during the construction phase of the project. The total fee for architectural services will be $ 71,000.00. RECOMMENDATION: It is recommended that the Rosemead Community Redevelopment Commission appropriate $ 22,000.00 from its unappropriated reserve to provide for the additional Architectural Fees. A brief summary of the project is included to justify BOA's request. Our original fee of $49,000 was based on an estimated construction cost of $365,000. The project scope more than doubled due to extensive ADA deficiencies identified while doing our site visits and plan development along with rapidly increasing construction costs. In checking our expenses to date we find that we have used the entire fee to produce the construction documents. We are therefore requesting an additional fee to cover our continuing participation during the bidding phase and for construction related services as outlined below: ADDITIONALFEE PROPOSAL Biddin Answer questions and prepare Addendum Items 18 hrs x $105/hr = $1890 Construction Related Services • Check Shop Drawings 48 hrs x $105/hr- $5040 • Answer questions, prepare change orders etc. 64 hrs x $102/hr= $6520 • Weekly site visits 48hrs x $102/lu= $4896 OD • Prepare as-built drawings 16 hrs x $65/hr= $1040 • Consultant help Lump Sum $2000 Reimbursables • Mileage 70 miles x 16 trips x $ 40 = $448 TOTAL FEE TOTAL FEE (Rounded) $21834 $22,000 The total A/E fee for the project would now be $71,000.
